Reservation Policies & Procedures


Please read our Policies & Procedures to avoid any misunderstandings

We are vacation property managers of privately owned properties. Due to the nature of the relationship we cannot control every aspect of the property. We do our best to ensure your property is fully equipped and tastefully decorated, but we are restricted to the owners preferences and taste. We do however have minimum requirements of all our properties in order to make your stay with us enjoyable and memorable. When making a reservation please feel free to ask specific questions about your accommodation selection as our Guest Service Representatives are fully knowledgeable about all of our accommodations.

When Making a Reservation:
When making a reservation you will be required to place a deposit for your accommodations. All reservations must be made with a credit card in the name of the guest making the reservation. The amount of the deposit depends on the number of days the reservation is made prior to your initial day of arrival. If you are making reservations more than 30 days prior to your arrival, you will be required to make a 50% deposit, if you are making reservations within 30 days of the date of your arrival you will be required to pay the reservation amount in full at the time of making the reservation. Once the reservation is made, you will be emailed a reservation confirmation letter, a reservation agreement/damage waiver, directions to our office as well as check-in instructions. Please verify your arrival and departure dates and review all literature carefully. Contact our office if any questions or concerns arise.

Final Payment:
For any reservation made more than 30 days prior to arrival, a 50% deposit was taken at the time of booking. The final payment will be charged to the credit card on file 30 days prior to the reservation, unless we are notified to do otherwise.

Rates and Taxes:
All our rental rates are in Canadian Funds and are based on a nightly rate with a maximum occupancy. All rental rates are subject to change at any time without notice. All accommodation rates will be subject to 5% GST and 10% HRT.

Cancellation Policy:
If the reservation is cancelled more than 45 days from initial arrival date, the deposit may be used as a credit towards another stay with Rocky Mountain Vacations Management Ltd. If the reservation is cancelled between 30 and 45 days prior to the arrival date the deposit is lost, if the reservation is cancelled less than 30 days prior to the arrival date any and all funds deposited will be lost. NO REFUNDS WILL BE GIVEN. Weather and ski conditions are unpredictable; cancellations due to weather/ski conditions will not be accepted. Reservation changes (accommodation choice can only be upgraded - no downsizing or change dates of arrival and departure allowed) are only permitted more than 45 days prior to arrival date, unless you are extending the reservation, and include the originally reserved dates of arrival and departure in your changes.

Damage Waiver/Reservation Agreement:
Prior to the arrival date the individual making the reservation will be required to sign our Reservation Agreement before entering the accommodation. This Reservation Agreement must also be signed by the owner of the credit card in which the reservation was made. Guests are liable for any damages to the premises and the furnishings, equipment and household items therein that occur during the guest's occupancy. The individual who signs the Reservation Agreement takes all responsibility for any damages, and all costs will be assessed within 21 days of departure.

Method of Payment:
We accept VISA and MasterCard.

Check-In:
For all properties check-in time is between 4:00 pm and 6:00 pm, unless prior arrangements have been made with our reservation office.

Check-Out:
For all properties check-out time is 10:00 am unless prior arrangements have been made with our reservation office. Upon check-out you are required to have all dishes washed and put away, or a $100.00 (+5% gst) surcharge will be applied to the credit card on file. You are NOT required to do any other cleaning or linens. Within 45 days after your day of departure we will be mailing you an invoice for all charges and expenses incurred during your stay.

Late Check-Out:
Guests who fail to vacate the accommodation by Check-Out time may be subject to a $50.00 per hour late check-out penalty fee, unless our reservation office is directly notified prior to check-put time. Any guests in the premises past the approved check-out time may be subject to immediate eviction as a trespasser. Rocky Mountain Vacations or local law enforcement shall have the right to evict such person(s) and/or their belongings.

Minimum Stay
Minimum stay varies during the seasons and ranges from 3 to 5 nights, depending on the dates. For details please contact our office.

Occupancy:
All of our properties have a maximum occupancy that is not to be exceeded. Violation of this policy may result in termination of your occupancy with no refund for any unused portion of your stay.

Entry of Premises:
Any authorized employee or maintenance/repair person may enter the premises during customary business hours for any purpose related to repair, improvement, care and management of the premises.

Valuables/Baggage:
Rocky Mountain Vacations assumes no responsibilities for valuables and personal items in your accommodations during your stay.

Age Restriction:
Due to the nature of the properties we make available for rent, we require the individual making the reservation be 25 years of age or older, and we require this person to be the individual signing the reservation agreement and the owner of the credit card on file for damages.

Smoking/Pets
All of our properties are NON-Smoking and DO NOT allow pets. Any violation of this policy is subject to a $500.00 fine. This policy is strictly enforced, with no exceptions. Regardless of our Pet Policy, the properties we manage are privately owned and therefore, with respect to allergies, we cannot guarantee that the property has been pet free - ask our reservationsists for more details.
